[Notice on Changes to the 2025 Fall Semester Regular Move-Out Inspection Process]

Dear Residents,
We would like to inform you of important changes to the move-out inspection process that will be applied starting from the 2025 Fall semester.

In previous semesters, residents were asked to directly enter their preferred date and time on a Google Form. However, this method repeatedly caused heavy congestion at certain time slots, exceeding the capacity of the inspection staff. As a result, inspections were often delayed by 30 minutes to 1 hour, causing inconvenience to inspectors, departing residents, and incoming residents, and leading to concerns about the quality and fairness of the inspection process.

To address these issues and ensure a more efficient and equitable system, the regular move-out inspection for the 2025 Fall semester will transition to a first-come, first-served time-slot selection system, as outlined below.

1. Change in Application Method

Instead of writing in a preferred schedule, residents will choose from predefined time slots.
Each time slot will be 15 minutes long, and the number of available rooms per slot will be limited by gender as follows:

• 3 rooms for male residents

• 2 rooms for female residents

Please note that the first-come, first-served system will be applied separately for male and female rooms.

2. Basis for Gender-Separated Allocation

A review of the 2025 move-out eligible rooms showed that the ratio of male to female rooms is approximately 2:1.
To reflect this actual distribution and considering the number of inspectors and the capacity for how many rooms can realistically be inspected within 15 minutes, each time slot has been set to accommodate 3 male rooms and 2 female rooms.

3. How the First-Come, First-Served System Works

Male and female applications will be processed independently.

Example: If the 3:00 PM Thursday time slot receives

• 5 male room applications, and

• 4 female room applications,

then the first 3 male rooms and first 2 female rooms to submit the form will be assigned to that slot.
Applications submitted afterward will be automatically rejected.

4. Important Notes

• Even if submitted early, applications may be canceled if the provided information is inaccurate.

• Failure to attend the selected inspection time (no-show) will result in the room not being inspected to ensure fairness to other applicants.

• Please ensure all information is entered correctly and that you arrive on time for your scheduled inspection.

5. Application Schedule

The Google Form for move-out inspection registration will be released on December 10 (Wed) at 6:00 PM through GEEP.

These adjustments have been made to reduce overcrowding, improve inspection quality, and ensure fairness among applicants.
